# Your hiring workflow

## A workflow is the ordered set of stages candidates move through for a job. ImpactHire gives every account a starting workflow, which you can use as is, customize for a job, or replace with a workflow you build yourself. Each job keeps its own copy of its workflow. Changes you make to one job therefore do not change the workflow of jobs already using another copy.

 **The default workflow**

ImpactHire provides a starting workflow, so a workflow is already selected when you reach the workflow step while creating your first job. Your account can also hold saved workflows for your company to reuse.

You can start in three ways:

1. Use a saved workflow as it is.
2. Use a saved workflow and customise it for this job.
3. Build a workflow stage by stage.

When you create the job, ImpactHire copies the selected workflow to that job. From then on, the job's workflow and the saved workflow are separate. Changing the job does not change the saved workflow or other jobs that started from it.

**Custom stages**

A stage is one step in your hiring workflow and one column on the candidate board. Your company can add stages and name them to match its hiring process.

When building a workflow, you can add a stage your account already holds or create a new one. Before the first application arrives, you can add, remove, reorder and rename stages. ImpactHire can also propose a workflow using AI.

Stages belong to the account and can be used by more than one workflow. Because of this, renaming a shared stage changes its name everywhere that stage is used. ImpactHire tells you how many jobs use the stage before accepting the new name.

### **Changing a workflow after applications arrive**

After applications arrive, you can still add a new stage anywhere before the offer stages. Existing stages keep their position and candidates stay in the stage they already occupy.

Candidates who have already passed the new stage continue on their existing route. Candidates who are earlier in the workflow encounter the new stage when they reach it.

**Offer stages**

Every workflow ends with two offer stages:

1. **Offer Sent**
2. **Offer Accepted**

These stages always remain at the end of the workflow. You can rename them to match your company's terminology, but ImpactHire continues to recognise what each stage means.

A candidate reaches Offer Sent when the company sends an offer and Offer Accepted when they accept it. Every stage before these two can be defined by your company.

New custom stages are added before the offer stages.

**Saving workflows**

You can save the workflow from a job back to your company account. It then becomes a saved workflow that can be used as the starting point for future jobs.

Saving a workflow does not update jobs that are already using an earlier copy. Each existing job keeps its own workflow.

Automations attached to the workflow are saved with it. This means a future job can start with both the stages and the actions your company normally uses at those stages.
