Stages that send tests and interviews

A workflow stage can give a candidate a written assessment, an AI interview, or an interview with a person. When a candidate enters that stage and the automation runs, ImpactHire creates the relevant session or interview and sends the candidate its invitation. A stage can hold one of these measurements at a time. If your hiring process requires more than one, use separate stages so each activity has its own place in the workflow.

Attaching tests and interviews

A stage can run one of three candidate activities:

Activity

Settings

Written assessment

Template, time limit and window

AI interview

Template, length and window

Interview with a person

Host, optional template, length and window

For an interview with a person, ImpactHire initially offers the job's hiring manager as the host. This can be changed.

A stage holds only one measurement. For example, if you want candidates to complete a written assessment and later attend an interview, create separate stages for those activities.

The stage determines which activity a candidate receives. This means candidates who reach the same assessment or AI interview stage receive the same template configured for that stage.
Changing an automation affects the next candidate who enters the stage. It does not change a test or interview already created for someone who reached the stage earlier.

What candidates receive

Each assessment or interview sends its own invitation. This is separate from any additional candidate email automation you configure on the same stage.

For a written assessment, ImpactHire emails the candidate a private link. The candidate does not need an ImpactHire account or password. The assessment has the time limit and availability window configured for that stage.

For an AI interview, ImpactHire also emails the candidate a private link. The candidate uses that link to reach the interview and does not create an account or password. Everyone who reaches that stage receives the interview configured for it.

For an interview with a person, the candidate receives an email naming the role and company, the interview length and the host, with a link to the interview page. The candidate can use that page to see the available times within the configured window and book a slot.

Each candidate-facing activity keeps its own link. The page behind that link changes as the activity progresses, so the candidate can return to the same address later.
A test or interview expiring does not by itself reject the candidate. For example, when a written assessment expires without being started, the application stays in its current stage and the company decides what to do next.
