Automated candidate emails
A workflow stage can send one or more emails to a candidate when their application enters that stage. Each email contains the message, a reply-to address, and an optional delay before it is sent. Email automations belong to the job's workflow. When a workflow is reused, its automations can be carried into the next job.
A stage can contain any number of candidate emails. If your company needs to send two separate messages at the same stage, you can configure two email automations.
An email automation contains:
|
Setting |
What it controls |
|
Message |
The content the candidate receives |
|
Reply-to |
The address that receives the candidate's reply |
|
Delay |
How long ImpactHire waits after the candidate reaches the stage |
The message belongs to the company account, allowing it to be reused rather than rewritten separately for every job.
When a person moves a candidate into a stage, ImpactHire shows the actions that stage can run before they happen. The person moving the candidate chooses which actions to run.
The current ImpactHire documentation does not specify the available personalization fields for automated emails.
DelaysAn automated email does not have to be sent as soon as a candidate reaches the stage. You can set a delay, which is counted from the moment the candidate enters that stage.
For example, a one-day delay means ImpactHire waits one day after the move before sending the message.
The delay also gives you time to correct a move. If a candidate leaves the stage before a delayed email is sent, ImpactHire drops that planned email rather than sending a message about a stage the candidate no longer occupies.
Editing templatesAutomations can be changed at any time. You can add or remove an automation, change its settings, or hold it back without removing it from the stage.
Changes apply to candidates who enter the stage after the change. They do not alter actions or sessions already given to candidates who are currently in the stage.
When a job starts from a saved workflow, it receives a copy of that workflow and its automations. Changes to those automations then belong to that job. Saving the job's workflow back to the company account carries the automations with it for future jobs.
ImpactHire keeps a timeline of what its automations did for each candidate. The timeline records emails sent, sessions given, and moves made by scores. The company is also notified when an email does not reach a candidate.
